Job Description:

At Soundsight Productions LLC, we like to start every project with the discovery phase. It’s our chance to ask and listen and really begin to learn what our client’s story, audience, goals, and challenges are. This phase includes conversations, research into their brand, their market, their products and their people. Through this research we find and ask for inspirational material that may influence the overall concept of the video. These can be links to existing commercials, videos, films. It can even be books, magazine ads. Anything that will inform the style and tone of the piece. This is also the time for us to evaluate what our client’s competition is doing, to make sure that we differentiate their brand from others.

As an Administrative Assistant, you will be responsible for helping to understand and convey the client’s vision to our creative team; collaborating with our concept developers and producers to ensure that we maintain company values and integrity. You will also be responsible for showcasing and representing Soundsight Productions, as well as demonstrating the various creative works/services that we offer.

Specific Responsibilities Include:

  • Maintain calendars for multiple executives, reach out and scheduling
  • Coordinate travel arrangements, both domestically and internationally including expense reports
  • Managing a large volume of various internal meetings including managing the flow of incoming and outgoing material (for example big cross-functional meetings, often across multiple time zones)
  • Event planning (team events, offsite, support with external meetings). Handle responsibilities related sourcing venues, vendors, coordination of agenda and presentations
  • Support in team-building and coordination
  • Liaising with our corporate workplace team to be a point of contact for in office space planning if needed
  • This role is heavy with communication internally and externally
  • Proposal Creation
  • Deck Creation

  • Producing (team events, offsite, support with external meetings). Handle responsibilities related sourcing venues, vendors, coordination of agenda and presentations
  • Coordinate and manage the internship group
  • Coordinate with executive producers 
  • Assist with clientele deposits and settlement

Qualifications:

  • Bachelor’s degree required
  • Senior experience as an executive or management assistant supporting multiple executives with a large team
  • Extensive experience within the technology or other similar fast-growing company
  • Strong written and verbal communication skills
  • Previous experience working with Product executives is highly preferred
  • Proficiency in Word, Excel, Google Mail & Apps is required
  • Ability to be discrete and maintain confidential information
  • Understanding of how to prioritize and respond accordingly
  • Interest in entertainment, media, or product development
